Grenada CBI Intake Process Guide (Donation Option – NTF)

This internal guide documents the end-to-end intake process for Grenada Citizenship by Investment (CBI) applications under the Donation Option (National Transformation Fund – NTF). It is intended for internal staff, case officers, and appointed agents to ensure clarity, compliance, and consistency across all applications.

1. Lead Capture & Qualification

Channels for capturing CBI leads include:

  • Official website lead forms
  • WhatsApp and email inquiries
  • Referrals from existing clients and networks
  • Webinars and international roadshows
  • Appointed agents and sub-agents in key markets

Qualification Criteria:

  • Confirm that the applicant is interested in the Grenada CBI Donation Option (NTF).
  • Collect applicant profile: nationality, family composition, budget, and timelines.
  • Screen eligibility: applicants must not be from restricted countries, must have a clean criminal record, and must be able to demonstrate legitimate source of funds.

Note: Early screening reduces risk of rejection and wasted processing time.

2. Initial Consultation & Information Sharing

The consultation stage ensures that the client fully understands the program structure, fees, and benefits.

Steps:

  • 1. Schedule consultation (via Zoom, WhatsApp call, or in-person).
  • 2. Share Grenada CBI Donation Program details:
    • ○ Minimum contribution: USD $235,000 (single applicant).
    • ○ Family contribution tiers for family of four).
    • ○ Government fees, due diligence fees, and service/agent fees.
  • 3. Provide the client with the Intake Form and KYC checklist.

3. KYC / Due Diligence Pre-Screen

Before accepting a client, perform thorough pre-screening to avoid reputational or compliance risks.

Documents to collect:

  • Passport copies (all pages)
  • Police clearance certificate
  • Proof of funds / bank statements
  • CV/resume with employment and education history

DInternal KYC checks:

  • Validate authenticity of documents.
  • Run checks for sanctions, politically exposed persons (PEPs), and adverse media.
  • Identify red flags (e.g., prior visa refusals, missing financial history).

Outcome: Only proceed to Engagement stage once pre-screen results are satisfactory.

4. Agreement & Retainer

Once the client passes pre-screening, formalize the relationship through agreements and fees.

Steps:

  • 1.Sign the Engagement Letter / Service Agreement.
  • 2.Collect the retainer fee to cover:
    • ○ Advisory and liaison services.
    • ○ Pre-screen compliance costs.
    • ○ Initial administrative expenses.
  • 3.Provide the client with a transparent fee schedule, including:
    • ○ Government donation amount.
    • ○ Due diligence fees per applicant.
    • ○ Agent/advisory fees.

Note: Retainer fees are non-refundable and must be collected before moving to application preparation.

5. Application Preparation

Assign a case officer to manage each client file.

Responsibilities:

  • Guide the client in collecting certified documents, notarizations, and translations.
  • Review all forms for accuracy and compliance.
  • Coordinate with the licensed Grenada agent (e.g., Hideaway/Calipso) to review the application.
  • Ensure the file is complete and error-free before submission.

Tip: Maintain a checklist for each file to track missing documents and ensure timely follow-up.

6. Submission to Grenada CBI Unit

The licensed Grenada agent is responsible for submitting the application.

Steps:

  • 1.Submit the complete application package to the Grenada CBI Unit.
  • 2.Obtain official Acknowledgment of Receipt (AOR).
  • 3.Share the AOR with the client.

Note: From this stage, the Grenada CBI Unit begins the formal due diligence process.

7. Approval in Principle & Donation Execution

Upon successful due diligence, the CBI Unit issues an Approval in Principle.

  • 1.Inform the client of their approval.
  • 2.Client completes the donation payment to the National Transformation Fund (NTF).
  • 3.Submit proof of payment to the CBI Unit.

Reminder: Donation must be made within the timeline specified by the approval notice.

8. Passport Issuance & Delivery

Once the donation is confirmed, the CBI Unit issues the Certificates of Naturalization and Grenadian passports.

Delivery Options:

  • Secure courier delivery to the client.
  • In-person collection by the client (if preferred).

Best Practice: Use reliable, trackable courier services and maintain records of delivery confirmations.
